By accessing or using HiveBase ("Service"), operated by HiveBase, Inc. ("we," "our," or "us"), you agree to be bound by these Terms of Use ("Terms"). If you do not agree to these Terms, do not use the Service. If you are using the Service on behalf of an organization, you represent that you have authority to bind that organization to these Terms.
HiveBase is an AI-powered organizational intelligence platform — an AI Chief of Staff — that integrates with workplace tools to aggregate context, extract insights, generate tasks, orchestrate agents, and streamline cross-departmental workflows. Supported integrations include, but are not limited to: Slack, Zoom, Google Calendar, Gmail, GitHub, Linear, Asana, ClickUp, Notion, Coda, Figma, HubSpot, Attio, Ramp, and Jira.
The Service uses AI models operated by third-party providers (including OpenAI, Anthropic, and Google) to process your data and generate outputs. AI-generated content is provided for informational and workflow purposes and does not constitute professional advice.
The Service connects to third-party applications you authorize. By connecting these services, you grant us access to the data from those platforms to the extent necessary to provide the features you use. We are not responsible for the content, functionality, or privacy practices of third-party services.

You may revoke integration access at any time through your account settings or through the respective third-party platform.
You retain full ownership of all content you provide or that is accessed through integrations ("Customer Content"). These Terms do not transfer any ownership rights to HiveBase.
We use your data under three distinct tiers, each with different purposes and controls:
We use your Customer Content solely to operate and deliver the Service to you — processing signals, generating tasks, extracting insights, running AI agents, and providing outputs within your workspace. This is the baseline purpose and cannot be opted out of while using the Service.
What this means in practice: Raw content accessed from integrations (emails, Slack messages, documents) is processed to extract structured intelligence and then expired. We retain the extracted intelligence (facts, signals, entities) in your workspace Brain — not the underlying raw content.
We collect anonymized, aggregated operational patterns — such as signal-to-action conversion rates, task completion velocity distributions, integration usage statistics, and AI scoring accuracy thresholds — to improve platform defaults, calibrate AI models, and publish anonymized industry benchmarks.
What this does and does not include: Tier 1 data contains no Customer Content, no identifying information, no proprietary company details. It is structural and statistical in nature (e.g., "median email triage score for Series A companies is X"). Your data is never attributed to your company in any aggregate report visible to others. You may opt out of Tier 1 in your workspace settings.
If you explicitly enroll, we may use anonymized records of AI decision feedback — such as whether you acted on a triage recommendation, reprioritized an AI-scored task, or corrected a signal category — to improve AI classifiers, routing models, and scoring thresholds for the platform.
Incentive: Participants receive a discount on platform credits (Work Units). What this does not include: The actual content of emails, messages, or documents. Only the decision signal (e.g., "score of 0.8 was overridden by user") is captured. Withdrawal: You may leave the Tier 2 program at any time without affecting Service access, and previously contributed data will be excluded from future training runs upon request.
Your Customer Content and the structured intelligence in your workspace Brain are never shared with, used to benefit, or used to train AI models for other customers. Each workspace's Brain is isolated and private. Tier 1 and Tier 2 data that enters shared improvement pipelines is fully anonymized before doing so.
HiveBase develops domain-specific AI capabilities for industries (e.g., construction, healthcare, legal operations). These vertical intelligence models are built exclusively from: (a) publicly available domain knowledge and industry standards, (b) synthetic training data generated from public sources, and (c) anonymized structural metadata from Tier 1 (entity type frequency, workflow pattern distributions — never content). Customer Content is not used to train vertical models. The purpose of vertical intelligence is to give all customers in an industry a better AI starting point — not to transfer any company's proprietary knowledge to competitors.
HiveBase's use of information received from Google APIs (including Gmail and Google Calendar) adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
The Service, its software, AI models (excluding third-party foundation models), platform design, and aggregated intelligence systems are owned by HiveBase or its licensors. You are granted a limited, non-exclusive, non-transferable license to use the Service for its intended business purpose during your subscription term.
AI-generated outputs produced by the Service on your behalf using your Customer Content belong to you, subject to any constraints imposed by underlying AI model providers.
Certain features require a paid subscription or consume platform credits ("Work Units"). Payments are processed through third-party providers (currently Stripe). You agree to pay all applicable fees and taxes. We may change pricing with 30 days' notice. Work Units consumed are non-refundable except where required by law or as described in our refund policy.
We treat your Customer Content and workspace data as confidential. We will not disclose your confidential information to third parties except as required to operate the Service, as permitted by these Terms, or as required by law. This obligation survives termination.
Either party may terminate a subscription at the end of the current billing period. We may suspend or terminate access immediately for material breach of these Terms, including non-payment or prohibited conduct. Upon termination: (a) your right to use the Service ceases; (b) we will retain your data for 30 days to allow export, after which it will be deleted in accordance with our Privacy Policy; (c) Tier 2 data contributions will be excluded from future training upon request.
The Service is provided "AS IS" and "AS AVAILABLE" without warranties of any kind, express or implied. We do not warrant that the Service will be uninterrupted, error-free, or that AI-generated outputs will be accurate, complete, or suitable for any particular purpose. You are responsible for verifying AI-generated content before acting on it.
To the maximum extent permitted by applicable law, HiveBase's total liability to you for any claims arising from these Terms or your use of the Service shall not exceed the amounts paid by you for the Service in the twelve months preceding the claim. In no event shall HiveBase be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunity.
You agree to indemnify and hold harmless HiveBase and its officers, directors, employees, and agents from any claims, damages, or expenses (including reasonable legal fees) arising from: (a) your use of the Service in violation of these Terms; (b) your Customer Content; or (c) your violation of any third party's rights.
These Terms are governed by the laws of the State of Delaware, without regard to conflict of law principles. Any disputes arising from these Terms shall be resolved through binding arbitration under the American Arbitration Association's Commercial Arbitration Rules, except that either party may seek injunctive relief in a court of competent jurisdiction. You waive any right to participate in class action proceedings.
We may update these Terms from time to time. For material changes, we will provide at least 30 days' notice via email or in-product notification. Continued use of the Service after the notice period constitutes acceptance. If you do not agree to updated Terms, you may terminate your subscription before the effective date.
